ScanLink enables scanned document images to be viewed searched,
distributed or archived using the same interface as archived
computer output files. Scanned documents can be cross-referenced
to other computer output documents, making full use of the
multi-functional search facility.
ScanLink allows you to
search for documentation using a single index value or by
selecting a combination of indexes. You can also search across
different document types, e.g. invoices, advice notes, credit
notes etc., and the sequence in which the indexes are presented
can be customised to reflect user preferences. A powerful
note facility is available to allow the user to enter any
relevant comments and enabling a history of the document to
be retained. This acts in the same manor as using a ‘Post-it’
note, to record comments on hardcopy documents. There is also
a zoom and orientation facility that enables the user to interrogate
the document(s) from their workstation prior to distribution.
ScanLink could be used
to interact with optical character recognition software packages,
allowing text from original stored documents to be captured
and manipulated. For example, text from original contracts,
which have been scanned and stores in the system, can be retrieved,
called up and edited on screen. Whilst the original remains
unchanged, the text on screen can be altered, details changed,
names inserted etc., and a new document can then be produced,
all in a fraction of the time it would take to draw-up a new
document from scratch.
ScanLink is designed
to maximise the efficiency of a business environment, a lot
of the functions and features of ScanLink have been introduced
as part of a customer request or to maintain compatibility
with the latest in imaging and business technology. As an
example, ScanLink enables any document image held in its database
to be e-mailed directly from the screen.
ScanLink links with PrintLink
to enable users to archive documents in their native form
(i.e. Microsoft Word/Excel) without the need to scan the image
into the system.
For office environments that use a distribution list as a
means of monitoring document flow, we have added a Distribution
List function. This enables instruction to be added to the
document so individual users can be given separate tasks to
perform on the same document.
ScanLink contains the
ability to tailor the filing cabinets to meet each clients
individual needs. The user can choose the naming convention,
the index names and characteristics, if they are to use drop
down lists or retain previous data information.
All of functions of ScanLink
have been designed to provide an easy to use product to improve
the time taken to gain user acceptance and thus improve user
efficiency quickly.
ScanLink is intended
to greatly reduce if not remove the need for storage of hard
copy documentation, whilst being a very simple to use product
that improves the efficiency of the office environment.
There is an additional utility that can be purchased to run
alongside ScanLink, and
that is AuditLink. This gives client's the ability to quickly
retrieve archive data held for a specific index and either
print the retrieved information without viewing all the contents,
or saving the data to a hard drive on the network. This saved
data can then be copied onto a laptop for customer visits
or copied onto a CD and given out. The CD copy comes with
a view and print capability so enable a remote user to view
the images without having ScanLink
installed.
e.g. A client could retrieve all their invoices and either
copy them for their Auditor, or give the auditor the information
on a CD. They could also be required via the data protection
act to provide a copy of all the files they have on a particular
user of company. AuditLink makes this a simple process.
