ColdLink

ColdLink gives uses the ability to archive documents using indexes extracted from electronic documents that do not require OCRing.

 

Examples here outgoing invoices, as they are produced on the system then there are in a text format before printing. By taking a copy of the print queue we are able to extract the document in text format. We recreate the printed page in output format an then extract the required indexes from the template we create. Unlike OCR this is 100% accurate as no OCR conversion has taken place. We can also match the document against any number of templates so we can automatically archive documents based on what they are. Therefore invoices are archived as sales invoices and Statements as statements etc.

 

Companies have used this to archive outgoing Sage or Pegasus documents including Vat reports and Sales invoices. This enables those companies to have all of their documents under the same system search, so when then search a company file they get every document that has come in or gone out to that company.

 

Another use is in getting information into a single search system where the accounts are held on another computer operating system. By this we mean As400 or Unix systems. As long as they can print to a windows PC we can extract the data from a defined storage location and then do the index and auto filing from there.

 

 

 

Enables user to archive electronic documents automatically into ScanLink using predefined rules to match which field belongs to which index etc.
